Summary:

 
Provide administrative support to the HR department, including the overall data entry of International Human Resource documentation, scanning employment files and other clerical duties. Provide back-up to domestic Human Resources Administrator as necessary. 

Essential Duties & Responsibilities:

  • Employee data entry for International employees in UltiPro. Coordinate data entry in the system in conjunction with International Payroll calendar deadlines.
  • Create employee files in Perceptive software, scan additional department forms as required to maintain electronic files.
  • Create new employee files maintain department files and records for assigned areas.
  • Responsible for collecting all new hire paperwork for International new hires.
  • Track and maintain new hire / termination checklist and orientation forms for International new hires and terminations.
  • Track and maintain international bonus plans.
  • Provide employment verification on current and previous domestic employees.
  • Sort and distribute department mail.
  • Prepare and send department overnight packages as necessary.
  • Provide backup for the receptionist on a rotating basis.
  • Ability to maintain high degree of confidentiality.
  • Ability to work and collaborate with off- site employees.
  • Assist on HR related projects and other duties as assigned.

  • 2+ years general administrative support experience, HR experience preferred.
  • Previous experience working with electronic document storage system strongly preferred.
  • Experience and knowledge of Ultipro Workplace strongly preferred
  • Strong data entry skill of 6000KPH or higher with above average accuracy.
  • Must demonstrate intermediate knowledge and ability to work with MS Word, Excel, Power Point, Internet navigation and e-mail usage required.
  • Demonstrated excellence in alpha/ numeric filling capabilities.
  • Must have strong interpersonal skills and flexibility to change, as this individual will be working with all members of the company.
  • Must have the ability to work well as a team member in an environment of stress, deadlines and at times tight schedules.
  • High School Diploma or GED required.
 Language Skills:
  • Bilingual (English / Spanish ) required Portuguese a plus. Ability to read and comprehend simple instructions, short correspondence and memos.
  • Possess excellent oral and written communication skills.
 Mathematical Skills:
  • Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, area and volume.
 Reasoning Ability:
  • Ability to carry out instruction furnished in written, oral or diagram form.
